Version 6.3 marks a significant milestone in Adequacy's evolution. It introduces three major advancements: a comprehensive Project module to manage Privacy by Design, an AI governance module to track and secure decisions related to AI use cases, and an enhanced media library, now more structured and easier to use.

Key New Features

Project Module: Integrated Privacy by Design

The Project module now joins Adequacy's Expert offering.

What it enables:

  • track the progress of project milestones directly from Management / Project
  • enter, for each project, the status of deliverables and their justifications, and contribute to the validation of milestones defined by the administrator
  • manage several project methodology templates from Settings / Project Templates: sequence of milestones, associated deliverables, assignment to one or more entities

Key new feature: the deliverables workflow
It is now possible to automate the status changes of deliverables. For example, when a deliverable changes to "Completed," subsequent ones can automatically change from "To Do" to "In Progress."

AI Governance and Use Cases

Decision and Committee Tracking
A new module, available on demand, to structure AI governance.

  • plan and track AI governance committees
  • add a list of use cases to review (for approval or rejection) to the agenda
  • view the decision history directly within a use case's record
  • easily extract the latest decision to generate the official list of approved use cases as part of an AI usage policy

Internal / External Distinction
For organizations offering AI solutions to their clients:

  • added concept of internal use cases, for the organization itself
  • added concept of external use cases, implemented by a client
  • A single external use case can be deployed to multiple clients.

Media Library: more structured, clearer

Folder Organization
Documents can now be organized in a folder tree:

  • easier navigation
  • better readability
  • optimized management for large media libraries

This organization does not affect the selection windows in the modules.

Document Collections
Each document now belongs to a collection, independent of folders. It determines where the document is visible in Adequacy.

Available Collections:

  • GDPR: documents related to the register, DPIA, requests...
  • Exercise of Rights: documents reserved for requests to exercise rights
  • AI Act: documents related to use cases, AI systems, AI models
  • Common: documents accessible across all modules
  • Knowledge Base: guides, support materials, resources not intended for accountability

The media library manager can modify a document's collection to adjust its visibility.

Public Register Module

  • new criterion for filtering processing activities by their status, and no longer just approved processing activities

Incidents and Breach Module

  • updated in-context help and some labels for more clarity

Usability

  • multiple selection in the document list to move or delete multiple files in a single action
